Modelling the structure of a digital archive for a sports university

Introduction. The NTD archive is an important database of accumulated knowledge and developments of organizations engaged in project activities, including the modern University of Physical Culture. Given that the archive has a variety of functions, it is quite difficult to organize a clear work on structured storage, ensuring the reliability of storage, confidentiality and differentiation of access rights, tracking the history of document changes, and fast and convenient search. Therefore, the article pays special attention to the analysis and modeling of the structure of the digital archive based on the improvement of the information system of a modern university [1, 2].
The purpose of the study is to model the structure of the digital archive of a modern university.
Methodology and organization of research. To solve this problem, this article identifies the functional requirements for the digital archive of a modern university, analyzes the compliance of the existing system with functional requirements, and suggests measures to improve the efficiency of managing the electronic archive of documents.
The results of the study and their discussion. Based on the study of the NTD electronic archive system, the analysis and modeling of the structure of the digital archive was carried out. The structure of the organizational part of the electronic archive of the NTD regulating the life cycle of the document and the technical part responsible for storage of documentation is revealed. The organizational part of the NTD archive is a set of orders and regulations for the interaction (exchange of information) of structural units, standard control and the archive throughout the development cycle of educational documentation. The technical part is implemented as a Subversion Version Control System (SVN) server. In order to improve the information system of the digital archive of a modern university, business process models "Information support" and "Information storage and receipt management" were built and the effectiveness of the developed models was evaluated. A comparative analysis of typical solutions of the digital archive system is presented, which include software products of the NTD electronic archive: PILOT: PLM Archive, STOR-M3 and TechnologiCS.
As a result of a comparative analysis of standard systems by functional requirements, the TechnologiCS system was selected for implementation, which meets the requirements of the TO-BE process because It allows you to: store documents, perform simple and quick document search, store different versions of documents and projects, view histories and projects, flexibly configure the document lifecycle, differentiate access rights between users, notify the user of changes, control processing, use electronic reference books, check the complexity of documents, compile reports, integrate data with other systems, sign with an electronic digital signature.
Conclusion. As a result of the analysis, the correspondence of standard software products to the built business process models in terms of the required functionality is shown and the optimal system of the digital archive of the Scientific and technical University for implementation in a modern university of physical culture is selected.
